Requesting a Technology Acquisition

Software

Glendale Community College has an annual software budget managed by College Technology Services (CTS).   If you require software that is not already available on eGCC/Softgrid or our Microsoft Campus Agreement licenses, you may make a request through the Software Acquisition request forms.   If approved, the software purchase will be processed by the Technology Services (TSS) and installed/tested by OIT.

GCC is bound by the purchasing policies and procedures set by the Maricopa County Community Colleges District (MCCCD).   While each individual and department is responsible for complying with Policies and Procedures, TSS will assist in assuring that compliance is maintained.

NOTICE : If an employee installs trial or personal software on their GCC computer, the employee is responsible for license, upgrades, documentation, and support. Employee is responsible for maintaining license and ownership documentation in their GCC office for auditing purposes.   Employee is responsible for any GCC property damage.  

Software Request Forms

A. Request Software for Academic/ eGCC* or Specialty Lab

  1. Download the Academic/eGCC Software Request Form
    (http://www.gccaz.edu/tss/forms/softwarerequest2010Final.pdf)
  2. Fill out all fields as completely as possible to prevent any delays in processing
  3. Print and obtain the required signatures - we are currently unable to accept electronic signatures.     If being purchased from departmental funds or other special resources, provide the CFS budget code to be charged
  4. Submit original copy, with signatures, to the Technology HelpDesk, (make a copy for your records)
  5. OIT Administrators will research request for existing licenses, similar products, compatibility to network, special support needs and available budget
  6. Requester will be notified of approval/denial and Technology Support Services will begin purchasing process if needed

* e GCC Software installation requests are coordinated with the OIT System Administrator and must be accompanied by the Academic/eGCC Software Request Form with contact name and testing information. This includes all college sites.

Software Request Deadlines for eGCC installation:
For Fall semesters, requests must be submitted by April 15th; for Spring semesters, requests must be submitted by November 15th

B. Request Administrative Software

The college provides a comprehensive suite of tools for employees to perform their daily work, in their offices. If additional software is needed to perform assigned duties or enhance productivity, the steps below will assist in submitting a software acquisition request:  

  1. Download an Administrative Software Request Form

  2. Fill out all of the fields as completely as possible to prevent a delay in processing

Disclaimer

Purchases that are coordinated through the this process are considered an official campus purchase. If your department purchases software independently, support and installation of that software on eGCC will be evaluated by the OIT management team

Submit Your Request

Submit your Academic/eGCC or Administrative software request through the Technology HelpDesk (HT1) to begin the Software Acquisition process.

HelpDesk personnel will data enter and issue a work order number and will contact via email the Requester for tracking purposes
