Ad Hoc Committee
When a request is received or a need identified to create a physical memorial on campus, the President shall appoint an ad hoc advisory committee to review requests, determine the appropriateness of the memorial (size, shape, text), determine location, develop a funding option, coordinate an appropriate ceremony and develop a maintenance plan.
This committee will normally consist of a college administrator (designated by the President to serve as Chairperson), the Facilities Manager, Business Manager, Director of Marketing and Community Relations and appropriate department or employee group representative(s).
When activated, the ad hoc committee shall review each request and make recommendations regarding the type of memorial, wording/style and format for signs and plaques, and location of the memorial. The committee will adhere to all District and college policies, local ordinances regarding memorials (i.e. vegetation and signage) and employ proper accounting practices in regards to the receipt and expenditure of funds.
The committee will also insure that committee minutes are archived and sufficient information provided to the Director of Marketing and Community Relations for inventory management and public information use (see link to Physical Monument Planning Record above).
Following a review by the ad hoc committee, each request and associated committee recommendations will be forwarded to the College President. The final decision concerning the placement of any physical memorial, as well as its form, size and content resides with the President. Following approval by the College President, the college staff will coordinate with colleagues, family members or representatives to place and dedicate the memorial.
