Welcoming a New OIT Project Management Process

The Maricopa District IT group has been implementing a Project Management Process using ITIL standards. The Information Technology Infrastructure Library is a set of concepts and practices for managing Information Technology services, development and operations. ITIL is the most widely accepted approach to IT service management in the world. ITIL provides a cohesive set of best practice, drawn from the public and private sectors internationally. The colleges are being encouraged to use ITIL standards District-wide for their IT Departments.

GCC’s OIT Project Management Team has been learning how to work with stakeholders to define requirements and success criteria for IT projects using ITIL standards under the leadership of Theresa Hilding, Director of College Application Services. The team members each have at least one project they are defining and using a standard template to document, known as the Project Brief. Any employee may have an idea for a project and work with the OIT Project Management Group to create Project Brief. The Project Brief documents the following:

  • Background
  • Project Definition
  • Business Case
  • Stakeholders
  • Resources needed (hardware, software, people)
  • Challenges
  • Success Criteria
  • Estimated Costs

A completed Project Brief goes to the Project Evaluation for review. The Committee is a cross disciplinary GCC team charged with reviewing potential IT projects to see how the projects will benefit the college. They will either recommend the project be implemented and assign it a priority relative to other projects, or reject the project. Once a project is recommended, it will go back to the Project Management Team and a Project Implementation Document will follow. This document outlines in detail all resources needed for the project and defines the timeline and resources required for implementation and ongoing maintenance.
