YOU asked for it! - Your Mailbox is almost full!

An annoying but necessary e-mail message keeps appearing: “Your mailbox is almost full!”

Computer users with e-mail accounts are familiar with the message and often struggle to keep space for incoming mail. Here are a few tips:

1) Note each day the total number of e-mails in your “inbox” folder. By the end of your shift, try to delete e-mails that no longer are relevant to maintain that number. For example, if you started the day with 350 e-mails in your “inbox,” try to end the day with no more than that total. Better yet, set a goal of having perhaps 10 fewer e-mails by day’s end than what you had when you began your workday.

2) Try various arrangements of your “inbox” to determine which e-mails you most likely are able to delete:

  • To help delete the largest e-mails that consume the most space, sort your inbox by “attachments” by clipping on the paperclip in the dashboard. This will allow you to see which e-mails might not apply or be of interest to you.
  • Then, sort your “inbox” by “date” to see if older messages can be deleted.
  • Finally, sort your “inbox” by “sender” to scan for messages that might be informational notices rather than work specific.

3) Repeat the process in your “sent” folder, being mindful your final sort will be by “recipient” rather than sender.

4) Be sure to delete the e-mails in your trash folder.

By following these steps, computer users not only free space on the e-mail account but also free space across the network. Delete away!
